The following is a breakdown of activities to document the services that iPartner offers to Family Offices:

Pre-Grant Stage

Our events bring to your table:

  • Work closely with your family office to understand the Values, Vision, Aims and Objectives of the potential grant/donation
  • Help create a bespoke philanthropic portfolio given the family’s interests and aspirations
  • Identify accountable and credible organisations which fit the family’s criteria
  • Start a dialogue with the respective charity(s) to understand and identify their needs in relation to the potential grant
  • Conduct ‘due diligence’ and validation of the charity to ensure that they fit all the legal requirements for a potential grant
  • Receive and scrutinise priority funding proposals along with budgets
  • Compile comprehensive document containing all proposals for the Family Office to approval
  • Rework proposals to fit into the family’s organisations guidelines
  • Collect all the legal documents for statutory purposes
  • Ensure all systems are in place in the respective organisations for reporting and feedback on the potential grant
  • Assess financial management capacity of the proposed partner
  • Evaluate the financial systems, processes and capability of the partner
  • Assess suitability of potential partner for entering into a financial relationship by investigating and identifying any potential risks

 

Grant Stage

During the grant stage, support and monitoring is done as under:

Programmes

  • Rework proposals based on the family’s organisation guidelines
  • Collate and transmit all documents required from partner organisations to the family’s organisation
  • Visit the project at least twice during the grant period to monitor, evaluate and assess that activities are proceeding as per schedule
  • Support the team in project design, identify impact indicators and resource allocation
  • Initial needs assessment conducted to direct capacity building intervention. Eg. communication, fundraising, governance, succession planning etc.
  • Training programmes and capacity building interventions conducted
  • Identify project risks, review plans and address risks within the term of the grant
  • Set in place the process for the use of technology to report and measure the impact of the grant
  • Ensure that appropriate photographic and audio visual documentation of the project is factored in
  • Organise and co-ordinate project visits for the family to engage with the project
  • Record and share impact stories, risks addressed and lessons learnt


Financial Systems

  • Provide a detailed understanding on past and actual financial and organisational management structures and processes; comment on its compliance with norms
  • Review of the Partner accounts to verify the utilization of client funds and assess related accounting, control and reporting systems
  • Validate that there is proper utilization of the family’s funds
  • Identifies diversion/misappropriation, if any


Strategic Direction

  • Identify the strengths of the organisation and link them to the project
  • Support team in assessing natural areas of growth and expansion resulting from the experience of this project; link it to the future direction of the organisation
  • Share network of like minded organisations to draw from their strengths and disseminate lessons learnt
  • Leverage more funds by directing other donors of iPartner to these causes and organisations
  • Identify and develop sustainability criteria for the project

 

Post Grant Stage

  • Conduct a programme and financial evaluation at the end of the year
  • Assess and document impact of project on actual beneficiaries, organisation and community on a year on year basis
  • Document voices of people from the ground – beneficiaries, project team, community members, professional peers about their experiences, good and bad, with the project
  • Report to the Family Office and family’s organisation in innovative ways using technology
  • Ensure that financial reports are validated and audited by an external independent agency - a complete set of externally validated and audited financial accounts presented to the Family Office and family’s organisation
  • Draw upon lessons learnt from the project to plan for the future
  • Integrate sustainability mechanism to future plans of the organisation
  • Create a photo book which documents the success and achievements of the project
